ASP Conference Attendance and Pandemic Requirements:

In order to protect our membership and ensure that the meeting is as safe as possible, we are requiring that all vaccine-eligible attendees (including vendors and guests) be fully vaccinated against COVID-19 prior to the meeting. If you have been advised against vaccinations for medical reasons, we will do our best to provide reasonable accommodations. If you have any questions or concerns, please contact President-elect Matthew Novak (mnovak@cocc.edu). Please note that attendees will be asked to upload an image of their COVID-19 vaccination card during registration. If you do not have a copy handy at the time you are registering, you can return to the registration site and upload it at a different time (on or before November 16, 2021). You do not need to upload proof of vaccination in order to complete the registration process. These images will be deleted from the system when the meeting is over.

This information if fluid and will be updated as conditions of the pandemic and requirements of health care authorities change. Please check back often.

Vaccine-eligible is defined as:

Vaccine eligibility includes anyone aged 12 years and older. Questions? Contact President-elect Matthew Novak (mnovak@cocc.edu).

Reasonable accommodations are defined as:

This will include, at the least, requesting accommodations from the Board of Directors and Local Host, providing proof of negative COVID-19 test (administered within 48 hours of November 17, 2021), wearing facial coverings and distancing appropriately. Questions? Contact President-elect Matthew Novak (mnovak@cocc.edu).

Updated September 30, 2021:

As the OKC in-person meeting approaches, we want to be clear on the expectations of behavior for attendees to keep everyone safe. Below are instructions for maintaining personal and public health.

Facial Coverings

Masks will be required of all attendees except when eating, presenting a talk at a lecturn, and outside. Masks need to cover the nose and mouth when worn. Scarfs, neck gaiters, and face shields without masks do not constitute adequate masking.

Physical (aka Social) Distancing

With all attendees vaccinated, distancing is less crucial than it was before vaccines were available. Nonetheless, as an added safety measure, please try to maintain physical distancing whenever possible.

Updated September 5, 2021:

Janette Wallis, our local host, and the ASP Board of Directors are working hard to provide our membership with an in-person meeting in Oklahoma this November. We believe we can do this safely, by requiring vaccinations and by wearing face coverings during the conference. We also encourage members to practice social distancing when possible and to wash their hands frequently.

We look forward to seeing all of you in person and your good science at the meeting. Please let your primatologist colleagues know that our meeting is on and encourage them to attend. You may want to distribute the conference flyer.

Due to contractual issue with the hotels and maintaining the financial health of our society, there is not a hybrid/virtual option available this year. Hybrid and/virtual options may become available for the 2023 or later meetings, but we do not anticipate this ability before then.

It has long been the stated policy of our society to not offer refunds to registrants who end up not being able to attend the meeting. In the process of getting our new website up and running, we inadvertently left this stated policy off this year’s registration material. We apologize for this oversight, however, our policy has not changed. In fairness to our membership, we want to offer a brief window (September 15 – September 30) during which refunds can be requested by contacting the Treasurer (Kris Coleman, colemank@ohsu.edu), and then we will revert to our standard policy.
